Schedule an AI Email Campaign

Prev Next

In AI Email (AIE), you can schedule a particular date and time for your email campaign, using the AI email agent, to start and stop sending emails. When the campaign ends, AIE manages existing conversations as described below.

Schedule a start date and time

The AI email agent begins sending emails at the scheduled time to all the leads enrolled in the campaign.

In the Schedule your campaign section, you can schedule a date and time for your campaign.

The time and date you set uses the time zone set when configuring the AI email agent, not your own time zone.

For example, if your browser is set to Pacific time and the AI email agent’s time zone is configured as Australia, when you schedule a campaign to go live at 8 pm on Wednesday, the AI email agent starts sending emails at 8 pm on Wednesday Australia time, not Pacific time.

You can change the AI email agent time zone using the Customize Assistant Settings.

Once you have launched and scheduled the start date, you will see the campaign status change to “Scheduled.”

You will not be able to change the campaign start date after launch.

Your suppression list will use the time when the campaign is launched to exclude emails. For example, you select the suppression list “Leads interacted within the last 6 months,” and schedule the campaign on the 1st of October so it will be launched on the 10th of October. AIE will then exclude all emails that interacted with your AI email agent 6 months prior to the 1st of October.

Schedule an end date and time

Select the custom date option if you want your AI email agent to stop sending emails to your leads after a particular date or time.

If you have set a few days between follow-ups emails for your AI email agent, you might see an alert message when an end date is too close to the start date.

As some of your leads won’t receive all the follow-up emails from your AI email agent, we recommend setting a longer running time for your campaign or reduce the time between follow-up emails in your conversation flow.

You cannot change the campaign end date and time after it is launched.

What happens after the campaign ends

When a campaign reaches the end date and time, the campaign status changes to “Ended”. All existing conversations, that is, the email threads with leads that are not qualified or marked as negative intent yet, from the campaign are automatically canceled.

If a lead replies again to the same email thread after the campaign end date, AIE creates a human review task and sends a notification email so you can take over the conversation.

If you enroll in a campaign that is already ended, none of your newly-enrolled leads will receive any emails from your AI email agent. We recommend starting a new campaign in which to enroll new leads.
